DUES TRACKING

Tracking progressive dues and/or traditional dues structures and how they are dispersed is nothing new to Huttleston Data Design. Since 1989 we have helped unions track dues and provided audit services related to Hudson-Beck legislation.

    Huttleston Data Design employs experts in progressive dues tracking.

    Often the member contact information included in dues data received from employers is the most up-to-date and accurate data that a union can receive because people want to make sure they receive their paycheck if it is mailed to either a home or work address.

    HDD can provide automated tools that detect differences in the data maintained on a member and the data received from an employer's payroll data. An exception report can be generated and the membership department can reconcile the data to improve the overall quality of information maintained on members.

    Reports reconciling dues deductions can be generated by member, by local, by state, and by region can be generated on a monthly, quarterly and annual basis including fiscal year-end. In addition, reports can be generated that show actual deductions and member count versus budgeted totals.

    Since 1989, HDD has helped Unions manage the reporting complexity associated with dues.

    After a person agrees to join a union and starts paying dues is when the accounting complexity really begins. There are often many stakeholders including a local, a state affiliate, a national affiliate and of course the actual dues paying member and their employer. At any one point, you might be asked to provide a dues payment history in different formats based on the technology used by the requestor. The member might ask for an electronic spreadsheet and the local they belong to might ask for a paper copy of the same. Each of these requests can easily be handled utilizing the web-based dues tracking tools built by HDD.

    Intertwined with these stakeholders, you could also have deductions for the union initiation fee which might vary by local, county, or contract. The member might also be enrolled in a union or state-sponsored health plan that you must track the hours worked in a given pay period, to know how much money to have deducted and sent directly to the plan sponsor. A member might also request that a deduction be taken each month to support the political activities of the union.

    HDD is able to incorporate multiple dues formulas and data structures into a single cohesive database.

    You might be working with an employer that is not consistent from month to month with the electronic format of the data they send you. HDD has built a front-end data import interface that can accommodate multiple data formats and convert the various formats into a standard readable form.

    In addition, if you have employers submitting dues data in a paper format we can look at matching data entry work flows to improve the processing time turnaround and by reducing the number of key strokes, possibly reduce the error rate.
